Office skills are required for most office administrative positions because they increase productivity and efficiency. Many offices need administrators who possess strong office skills. Office administrators are responsible for schedules, organization and customer relations. They can often be the first impression potential or current customers get of the company.
Therefore, office administration as a vital future skill and will be relevant to any trade or occupation in providing key expertise in making sure business processes, people and systems are run efficiently, effectively.
The Occupational Certificate: Office Administrator qualification provides a learner with an opportunity to acquire a range of administrative skills to coordinate the activities of an office including information management and operational processes.
Qualified learners will be competent to support management with office and information administration demonstrating a range of administrative and communication skills. They will be able to function in Human Resource, Marketing, Public Relations or Financial departments/unit which will enable them to accomplish tasks professionally and efficiently in the increasingly computerised environment of a business office in accordance with national and international standards in the field.
What you will learn in this course!
Upon completing this full qualification, you will be able to:
- Manage resources according to good governance policies and procedures to facilitate the smooth and effective operational activities within the organisation.
- Manage, coordinate and assist in the administration and clerical support of specific departments to facilitate the smooth running thereof by using computerised systems and practices.
- Assist in selection process, induction, employee wellness and skills development of employees.
- Process given data to complete a Workplace Skills Plan.
- Assist in the administrative function of the marketing, public relations and advocacy of the organisation.
- Communicate effectively using appropriate methods to maintain effective customer relationships according to organisational standards customer service of internal and external stakeholders.
- Plan, administer and provide support services to a special project within an organisation.

You will complete the Knowledge and Practical Learning with Mind-the-Gap but your work experience will need to be completed in a workplace and entered into a MOU prior to you starting the qualification.

The practical skills modules you will complete with us is as follows and makes up 155 credits of your learning (these will be clustered into 5 Skills Programmes of Learning):

- Manage, coordinate and assist in the administration and clerical support of resources to facilitate the smooth and effective operational activities within the organisation (334102002-PM-02)
- Assist in the administration and preparation of the process of tendering of contracts (334102002-PM-03)
- Manage meetings (334102002-PM-04)
- Payroll processing and pay administration (334102002-PM-05)
- Support the recruitment, selection, and induction of staff (334102002-PM-06)
- Classify, identify, register, track and dispose of records and information (334102002-PM-07)
- 334102002-PM-08, Assist in the administration and preparation of the Workplace Skills Plan (WSP) (334102002-PM-08)
- Provide administrative support to Marketing/Public Relations division (334102002-PM-09)
- Prepare, install and dismantle exhibition elements (334102002-PM-11)

The work experience modules you will need to complete in an approved workplace is as follows and makes up 158 credits of your learning:
- Perform administrative and meeting support functions to support management (334102002-WM-01)
- Handle customer and client’s queries and liaison in an office (334102002-WM-02)
- Marketing/Public Relations and administrative support (334102002-WM-03)
- Assist in planning and coordinating at least two special events/conferences (334102002-WM-04)
- Procure and allocate resources (334102002-WM-05)
- Solicit tender offers in terms of a set of procedures (334102002-WM-06)
- Manage a paperless office (334102002-WM-07)
- Supervision, and training of administration staff (334102002-WM-08)
- Assist in developing a Workplace Skills Plan according to employee training needs (334102002-WM-09)
- Apply ready for work standards to everyday work activities (334102002-WM-10)
Once you have successfully completed all three components of your learning, you will also need to be sit an External Integrated Summative Assessment (EISA) that is administered by the AQP of the QCTO for this qualification.
